End-User Licence Agreement and Terms of Use

Accounting On You Ltd
Last updated: 22 October 2026

1. Introduction

This End-User Licence Agreement (“Agreement”) governs access to and use of AOY AI Bookkeeping Review (“Application”), an internal accounting technology application developed and operated by Accounting On You Ltd (“AOY”, “we”, “us” or “our”).

By accessing or using the Application, authorised users agree to comply with this Agreement and AOY's applicable internal policies.

The Application is intended solely for authorised business purposes and is not offered as a standalone accounting service to the general public.

2. Application ownership and permitted use

The Application is operated by Accounting On You Ltd, a company incorporated in England and Wales.

AOY grants its authorised personnel a limited, non-exclusive, non-transferable and revocable right to access and use the Application solely for performing approved duties on behalf of AOY.

Users must not:

  • Access information belonging to clients for whom they have no appropriate authority.

  • Disclose client information to unauthorised persons.

  • Circumvent security or access restrictions.

  • Use the Application for personal or unrelated commercial purposes.

  • Attempt to interfere with the Application's operation or security.

All intellectual property rights in AOY's proprietary application components, procedures, branding and documentation remain with AOY or their respective licensors.

3. Purpose and functionality

The Application uses authorised QuickBooks Online connections to retrieve relevant accounting information and support internal bookkeeping quality control.

Its functions may include:

  • Reviewing bookkeeping transactions and account classifications.

  • Identifying potentially duplicated or unusual transactions.

  • Highlighting possible VAT coding discrepancies.

  • Reviewing accounting balances and outstanding queries.

  • Identifying inconsistencies requiring professional investigation.

  • Producing internal accounting exception reports.

  • Supporting financial reporting and related practice workflows.

Availability of particular functions may change as the Application develops.

4. Artificial intelligence

The Application may use third-party artificial intelligence services, including Anthropic Claude, to analyse authorised accounting information.

AI-generated outputs are intended to assist accounting professionals and must not be regarded as conclusive evidence of an accounting error.

AOY requires appropriate human review of material findings before any accounting adjustments, statutory submissions or client communications are undertaken.

Responsibility for professional accounting services remains with AOY in accordance with its client engagements and applicable legal and professional obligations.

5. Access to QuickBooks Online

The Application connects to QuickBooks Online through Intuit's authorised API infrastructure.

Access is limited to accounting information for which the relevant QuickBooks company has granted permission.

The bookkeeping review integration is configured to disable tools that create, update or delete accounting transactions. These restrictions operate at application level and do not alter the underlying scope of QuickBooks' accounting API authorisation.

The Application does not independently authorise bank payments, submit statutory filings or alter client accounting records.

AOY may withdraw or suspend a connection where required for security, compliance or operational purposes.

6. Confidentiality and data protection

All accounting information obtained through the Application must be handled confidentially and in accordance with applicable law, client agreements and AOY's internal policies.

Processing of personal information is governed by the accompanying AOY AI Bookkeeping Review Privacy Policy.

Users must immediately report suspected unauthorised access, data loss or confidentiality breaches through AOY's established incident-reporting procedure.

7. Third-party services

The Application relies on third-party systems, including QuickBooks Online and approved AI technology.

These services are subject to their respective terms, technical availability and contractual arrangements.

AOY is not affiliated with or endorsed by Intuit or Anthropic merely by using their technologies.

QuickBooks and other third-party product names remain the property of their respective owners.

8. Security

AOY applies risk-based technical and organisational safeguards intended to protect the confidentiality, integrity and availability of information processed through the Application.

Users must comply with approved authentication, device-security and access-control requirements.

AOY may suspend access immediately where misuse, unauthorised activity or a security risk is suspected.

9. Accuracy and limitations

The Application is an assistance and quality-control tool.

AI-generated findings may be incomplete, outdated, inaccurate or affected by unavailable source documentation.

No output from the Application replaces appropriate professional judgement, independent verification or legally required review and approval.

Nothing in this Agreement excludes or limits liability where exclusion or limitation would be unlawful.

10. Changes and termination

AOY may update, restrict, suspend or discontinue the Application where reasonably required for operational, security, legal or regulatory purposes.

User access may be revoked upon termination of employment, withdrawal of authorisation or breach of applicable requirements.

11. Relationship with client engagements

This Agreement governs use of the Application and does not replace or amend AOY's existing client engagement letters, service terms or statutory responsibilities.

Clients' rights and AOY's professional obligations continue to be governed by the applicable engagement arrangements and law.

12. Governing law

This Agreement is governed by the laws of England and Wales.

Subject to any mandatory legal requirements, disputes arising in connection with this Agreement shall be subject to the jurisdiction of the courts of England and Wales.
